Privacy Policy

This policy explains what personal information Verballed collects,
why we collect it, who sees it, and what rights you have. We have
written it in plain English. If anything is unclear, email us and we
will explain.

1. Who we are

Verballed is an online English school. It is run by Edward
Ball, trading as Verballed, a sole trader based in the United
Kingdom. Edward Ball also runs Edds English.

For UK data protection law, we are the data
controller of the information described in this policy. That
means we decide how and why it is used, and we are responsible for
it.

Verballed is for adults. Our classes are for people
aged 18 and over. We do not knowingly collect information from anyone
under 18. If we learn that we hold information about someone under 18,
we delete it.

What this policy covers: the website verballed.com,
Verballed classes, the free Edds English guide and weekly emails you can
sign up for on this website, and applications to teach with us.

2. The information we
collect, and why

2.1 When you subscribe
Your name and email address — To set up your
subscription and contact you about it. Legal basis: contract.
Your plan, billing period and renewal date — To run
your subscription. Legal basis: contract.
Your billing country or address — Tax and payment
rules. Legal basis: legal obligation.
Your payment card details — We never see or
store your card details. You enter them on Stripe’s secure
checkout page and they go directly to Stripe. Legal basis:
contract.
2.2 When we set up
your account and meet you
After you subscribe, we create your booking account and invite you to
a short welcome call.
Your mobile / WhatsApp number — To contact you
quickly about your classes, for example if a class time changes. We do
not use it for marketing. Legal basis: legitimate interests — running
your classes reliably.
Your city and time zone — To show class times in
your local time. Legal basis: contract.
Your English level — To place you in the right
group. Legal basis: contract.
Your goals and notes from your welcome call — what you want
to achieve, the topics you enjoy, and what you want to work on
— So that every tutor knows what you are working towards. Legal basis:
legitimate interests — teaching you well.
Please do not tell us sensitive information about yourself, such as
details about your health. We do not need it to teach you.

2.3 When you book and attend
classes

Your bookings, attendance, cancellations, waiting-list
places and missed classes — To run the timetable and apply the
rules in our Terms. Legal basis: contract.

Short notes your tutor writes after class — So your
next tutor can continue where the last one stopped. Legal basis:
legitimate interests — teaching you well.

Ratings or feedback you choose to give us — To
check and improve the quality of teaching. Legal basis: legitimate
interests — quality of the service.

We also send you booking confirmations and class reminders by email.
These are part of the service, not marketing.

What other people in your class see. Group classes
have a maximum of three students. Your tutor and the other students in
your class see and hear you during the class, and see the name on your
account.

2.4 Recording

Group classes are never recorded. There is no
recording, no transcript, and no stored audio or video of any group
class.

One-to-one classes are not recorded at the moment.
In future we may offer recordings of one-to-one classes, so that you can
review your own lessons. If we do, we will tell you before any class is
recorded, and we will update this policy first.

Students must not record classes themselves — openly
or privately. A group class contains other students, and recording it
would take their voices and images without their agreement.

There is one exception, and it never involves you. If no student
arrives for a class, the tutor takes a screenshot of the empty classroom
and the time, to show that they attended. The screenshot must not show
any student.

2.5 When you email us

We keep your message and our reply, so that we can help you and have
a record of what was agreed. Legal basis: legitimate interests — running
the school and answering questions about it later.

2.6 The free
guide and weekly emails (Edds English)

On this website you can sign up for a free guide and weekly English
tips from Edds English, which is run by the same person as
Verballed.

Your first name, your email address and the level you
choose — To send you the free guide and the weekly emails you
asked for. Legal basis: consent.

Whether you opened an email or clicked a link — To
see which emails are useful and improve them. Legal basis: consent.

You can stop at any time. Every email has an
unsubscribe link. Unsubscribing does not affect anything else, including
a Verballed subscription.

2.7 When you visit this
website

Cookies. A cookie is a small file that a website
saves in your browser. When you first visit, a banner asks for your
choice.

Essential — Cookies that make the website work and
keep it secure, and one that remembers your cookie choice. When: Always.
The site cannot work without them.

Analytics — Google Analytics. Shows us how many
people visit and which pages they read. When: Only if you click
“Accept All”.

Advertising — Meta Pixel (Facebook and Instagram).
Tells us whether our adverts work, and lets us show adverts to people
who have visited the site. When: Only if you click “Accept
All”.

If you click “Deny”, the analytics and advertising
cookies are not set. You can change your choice at any time: click the
small round icon in the bottom-left corner of any page.

Our legal basis for analytics and advertising cookies is your
consent.

Technical information. Our website host also
receives basic technical information each time a page loads — such as
your IP address and browser type — to deliver the site, keep it secure
and find errors. Legal basis: legitimate interests — running a safe,
working website.

2.8 When you apply to teach
with us

Your name, email address, phone number, country and
city — To consider your application and contact you about it.
Legal basis: steps before a contract.

Your work history, teaching experience, qualifications,
languages, interests and availability — To decide whether to
offer you classes, and which ones. Legal basis: steps before a
contract.

A short video of you speaking — To assess your
application. It is seen only by the people deciding on your application.
Legal basis: steps before a contract.

If you start teaching with us, we also keep: your acceptance of the
Tutor Agreement (your name, email, country, and the date and time you
accepted), a record of the classes you taught, and what we paid you.
Your payout details are held by Wise or Stripe, whichever you choose —
not by us. Legal basis: contract, and legal obligation for tax
records.

3. Who sees your information

Your tutor sees your name, your level, your bookings
and the class notes. Tutors work with us under a written agreement. It
requires them to keep your information confidential, to use it only to
teach you, and to delete it when they stop teaching for Verballed.
Tutors must not give you their personal contact details or social media,
and must not ask for yours.

The other students in your class — see section
2.3.

The companies that provide our tools — listed in
section 4. They process your information for us, to provide their
service.

Nobody else. We do not sell your personal
information. We do not give it to other companies for their own
marketing.

We may share information if the law requires it, or if we need it to
bring or defend a legal claim.

4. The services we use

Stripe — Takes payments and runs subscriptions.
Also one of two ways we pay tutors. Handles: your card details (which
never reach us), name, email, billing country.

SuperSaaS — Our booking system. Handles: name,
email, phone number, bookings and attendance.

Zoom — The video classroom. Handles: your live
video and audio during a class. See section 2.4 on recording.

Google — Our email, and the forms we use for
teaching applications. Handles: emails you send us; teaching
applications.

Mailchimp — Sends the free guide and weekly emails.
Handles: first name, email, level, and whether you opened or
clicked.

Wix — Hosts verballed.com, with a cookie banner
provided by Usercentrics. Handles: technical information and your cookie
choice.

Google Analytics — Website statistics — only with
your consent. Handles: pages visited, approximate location, device
type.

Meta (Facebook and Instagram) — Advertising
measurement — only with your consent. Handles: pages visited and actions
taken on the site.

Wise — The other way we pay tutors. Handles: tutor
payout details.

5. Where your information goes

We are based in the United Kingdom. Several of the companies in
section 4 are based in, or store information in, other countries —
including the United States and the European Union.

When your information leaves the UK, it is protected by safeguards
that UK law recognises. These are either a decision by the UK government
that the destination protects personal information properly, or standard
contract terms approved for international transfers. You can ask us for
more detail about any provider.

If you live outside the UK. We have students in many
countries. Wherever you live, you can use every right in section 7 and
we will treat your request in the same way. Your own country’s law may
give you additional rights, and you may also have the right to complain
to the data protection authority where you live — for example the ANPD
in Brazil.

6. How long we keep it

Your account, subscription, bookings and attendance
— 2 years after your subscription ends. To answer questions, resolve any
dispute, and welcome you back.

Payment and invoice records — Up to 6 years after
the end of the tax year. UK tax rules require business records to be
kept for at least 5 years after the tax return deadline.

Welcome-call notes and tutor class notes — 12
months after your subscription ends. So we can continue where you
stopped if you return.

Emails between you and us — 2 years after the last
message. To have a record of what was agreed.

Free guide and weekly emails — Until you
unsubscribe. After that we keep only your email address on a “do not
email” list, so that we do not contact you again by mistake.

No-show screenshots — 3 months. To pay the tutor
correctly and answer any query.

Teaching applications that are not successful — 12
months. So we can contact you if a place opens.

Tutor records — agreement, classes taught, payments
— 6 years after the last payment. Tax and contract records.

When a period ends, we delete the information, or we remove
everything that could identify you.

Information collected by Google Analytics and Meta through cookies is
held by those companies under their own rules. You can withdraw your
consent at any time — see section 2.7.

7. Your rights

Under UK data protection law, you have the right to:

See the information we hold about you, and get a
copy.

Correct anything that is wrong or incomplete.

Delete your information, where we have no good
reason to keep it.

Object to us using your information where our legal
basis is legitimate interests.

Restrict how we use your information while a
concern is being resolved.

Move your information to another service, in a
common file format, where our legal basis is consent or contract.

Withdraw your consent at any time, for anything we
do on the basis of consent.

To use any of these rights, email
team@verballed.com. We will reply within one month. It
is free, and we will not treat you differently for asking.

If you are unhappy with how we have handled your
information, please tell us first so that we can put it right. You also
have the right to complain to the Information Commissioner’s Office
(ICO), the UK’s data protection regulator: ico.org.uk, or 0303 123
1113.

8. Keeping your information
safe

Your card details never reach us. They are handled by Stripe.

This website and every service in section 4 use encrypted
connections.

Only the people who need your information can see it: the school’s
administrator, and your tutor for the information in section 3.

If a security problem happens that is likely to put you at risk, we
will tell you. Where the law requires it, we will also report it to the
ICO within 72 hours.

9. Automated decisions

We do not make decisions about you by automated means alone. You choose your own class time, and a person decides which tutor teaches it.

10. Changes to this policy

We will publish any changes on this page and change the date at the
top. If a change is important for how we use your information, we will
also tell you by email.
